How to Share Documents on Google Drive

Google Drive was formally known as Google Docs. This was created by Google Drive as a file storage synchronization service. Google Drive helps in storing files in the cloud, sharing files, editing documents, spreadsheets, presentations, etc. Google Drive also helps in collaborative editing with the help of Google Docs, and Sheets and Slides built-in. As the first step, the user will need to type in drive.google.com into the browser as shown in the following figure.

This will take you to a sign-in page of Google Drive where you will have to input your email and password.

After entering the email and password correctly, you will be redirected to the Google Drive webpage as shown below.

At the Google Drive webpage, a variety of options are available on the left corner of the web page as seen in the above figure.

By clicking on the “New” option, the following option will open.

As shown in the above image, you will have to select the file upload option that will take you to a selection window.

You will be able to select the file that needs to be shared in this step. The file will be saved to Google Drive and can be accessed from anywhere if there is an internet connection.

After the file has been uploaded, it will appear on Google drive in the following manner.

When you click on the file that is to be shared, several options will be displayed as shown below.

On the top right corner, you will need to select  CaptureA icon that will open up a window as shown below.

If you click on the Can edit option, a drop down list of other options will appear as below.

These options can be used to limit the access of the document that is to be sent. The person who receives the document will be able to edit or comment on the document or view according to the selection that is made within these options.

When you click on the “Get shareable Link ” on the right top of the window, a window with the following options will appear.

The link that appears can be shared with the receiver of the file. By clicking on this link, the receiver will be able to access this file. It is a more secure option than just sending the file through email.

 Clicking on the advanced option will open the following window.

This option will display advanced features. These options can be selected according to the preference of the user.

Sharing with Facebook, twitter, Google + has also been made easy. The owner settings can be used to control the access of the document that is to be shared. By entering names or email addresses, people can be invited to view, comment or edit the document that is to be shared

After the preferences have been completed, By clicking the “Done” button in blue, the document or file can be sent to the receiver.

The receivers of the documents sent can be notified. For this, the appropriate option needs to be selected. A copy of the document can also be sent to you if needed by selecting the above option. The receiver will receive the document as an email with or without the appropriate restrictions.
